Common QuickBooks CSV Import Errors and How to Fix Them

Troubleshoot headers, dates, amount signs, blank rows and duplicate transactions before a manual bank CSV import.

The columns cannot be mapped

Simplify the file before importing. A three-column layout with Date, Description and Amount is often easier to map than a bank export containing balances, categories and branch information. Make sure the header row is the first row in the file.

Dates are rejected

Mixed date formats are a frequent cause of failed imports. Convert every transaction date to one consistent pattern and remove time stamps unless they are specifically required. Check for impossible dates and spreadsheet values that were automatically changed.

Debits appear as deposits

Verify the sign convention. In a signed amount file, deposits are normally positive and withdrawals are negative. A separate debit/credit layout should not contain values in both columns on the same transaction row.

Rows are missing or duplicated

Blank amount cells, formulas, merged cells and repeated header rows can cause inconsistent results. Export a plain CSV, remove empty records and check whether the statement period overlaps a previously imported file.

The import works but the data is wrong

A successful upload does not guarantee correct accounting. Compare the imported transaction count and net amount with the cleaned file. Undo or exclude incorrect entries before reconciling the account.

Final check: Keep the original statement, review the converted file and confirm the current import requirements of the software you use.
